How do I know if the Transportation Department can accomedate my field trip date?

The best way to keep from having to reschedule a field trip due to lack of transportation availability is to check the Youth Services Calendar, which will show the approved field trips for any given day.

Two of the most important factors to consider when trying to schedule transportation is:

1) Only one bus, per day, district-wide, can accomedate field trips outside of the Field Trip Time, 8:30 am – 1:15 pm

The transportation department can only provide one bus for a field trip scheduled out of the field trip time, per day (district-wide). Always check the Youth Services Calendar before scheduling a field trip.

If you would like to schedule a trip outside of the field trip time (8:30 am – 1:15 pm) and there is already a trip scheduled outside of the field trip time the day you want, you will be asked to reschedule your field trip.

Example: You would like to schedule a field trip to Sacramento from 8:00 am -2:00 pm  for either May 17th , May 18th, or May 19th. You check the Youth Services Calendar and see that a Burns Valley class is scheduled on May 17th from 8:30 am – 2:00 pm , Lower Lake High School is scheduled on May 18th from 9:00 am – 6:00 pm, and Pomo School is scheduled on May 19th from 8:30 am – 1:00 pm.

Because your field trip id schedule outside of field trip time, the only date option is May 19th. Both May 17th and May 18th already have trips scheduled out side of field trip time.

2) Passengers per bus.

The total capacity for passengers, per bus, is 78 (sitting three to a seat) or 52 (two to a seat). If you total capacity goes over these numbers, another bus will need to be scheduled or you have the option to request a van (subject to availability).

Example: You would like to schedule a trip to Luther Burbank* for 100 people. The Transportation Department would not be able to accomedate this trip because they would have to schedule 2 buses (to accomedate the extra passengers) and both buses would be outside the Field Trip Time 8:30 am – 1:15 pm.

Charter buses can be arranged through Youth Services, with prior approval from site administration.

*Luther Burbank Trips typically run:
For showtime at 9:30 am, bus times are 8:00 am – 12:00 pm
For showtime at 11:30 am, bus times are 9:30 am -2:00 pm
